Position Title: Secretary/Receptionist
Location: Whitchurch-Stouffville
Compensation: $17.00-$19.00 per hour
Hours: 40 hours per week
Job Description: Responding to calls, website leads, and emails from showing agents/prospective clients.
Scheduling and confirming appointments. 
Uploading and updating listings on MLS and post-sale activities. 
Preparing offers, amendments, notice of fulfillments and other related documents.
Coordinating buyer showing appointments, buyer representation agreements, etc.
Coordinating with inspectors, mortgage specialists, lawyers, etc.
Organizing mailings and target mailing.
Ordering office supplies and maintaining inventory.
Coordinating the installation/removal of signs and lockboxes.
Managing contact lists and updating client information.
Managing Emails, Social Media Sites, Websites, etc.
Assisting realtors with the preparation and delivery of marketing materials and presentations.
Fulfilling clerical duties (faxing, filing, photocopying, maintaining filing system, etc.)
2 Positions Available 
Job Requirements: 2 years working experience in office administration preferred.
Must have a reliable form of transportation.
Must be proficient in English.
Exceptional customer service skills on phone, email, and in-person.
Excellent organizational skills and attention to detail.
Effective interpersonal skills; client focused, dependable, and reliable.
Ability to multi-task and prioritize.
Ability to work independently and as part of a team.
Outstanding communication skills (written and verbal).
Strong office and time management capabilities.
Thorough data entry and reporting skills.
Proficient knowledge of Microsoft Windows, Social Media (Facebook and Instagram), Microsoft Office (Word, Excel, PowerPoint, etc.), Website, and Electronic Mail.
