Position Title: Administrative Assistant
Location: Port Elgin
Compensation: TBD
Hours: 40 hours per week
Job Description: Maintenance of the office space including communicating with building management.
Prepare documents for bid submissions including, but not limited to, various manuals drafted for specific Central Canada bid submissions.
Support the day-to-day activities of the Vice President including, but not limited to, processing all incoming and outgoing mail and couriers, monitoring the daily electronic calendar, maintaining an electronic contact list in Outlook, organizing and maintaining corporate files.
Supports the Project Managers as follows:
Establishes and maintains project files (paper and electronic)
Assists with the preparation, submission, and maintenance of project related documents including contracts, letters, and forms.
Assists with maintenance of project change orders
Liaise with various unions to maintain trades manpower on projects
Collect all project documents from site offices upon project completion
Prepare project documents for archiving upon project completion
Submits and collects Customer Satisfaction Questionnaires upon completion of projects.
Supports the Supply Chain Department with all required administrative tasks.
Coordination of time off schedules for the Project Management team
Job Requirements: Successful completion of an Office and/or Business Administration program
Five to eight years’ related experience.
Ability to work independently, or within a team, as required during the completion of assigned tasks.
Ability to complete deliverables on time in a fast-paced environment
Ability to record meting minutes (actions, risks, clarifications)
